Quotae is a mobile invoicing app for self-employed professionals and ZZP'ers in the Netherlands. Issue BTW-compliant invoices in EUR from your phone, apply the right tax rate, and keep records ready for the Belastingdienst — including support for the small-business scheme (KOR) when you qualify.

Quick answer

Do Dutch ZZP'ers need special invoicing software?

The Belastingdienst does not mandate any specific invoicing software for Dutch ZZP'ers — PDFs are fully accepted. What it does require is clean records: sequential invoice numbers, your KvK and BTW-ID, customer details, BTW breakdown, and the data needed for your quarterly BTW return and ICP declaration for EU B2B services. Mandatory B2B e-invoicing is on the EU agenda but not yet in force in NL beyond B2G — verify with your accountant whether structured-format invoicing applies to you. For details on the small-business scheme, see the Kleineondernemersregeling page.

Does Quotae support BTW invoices (21% / 9% / 0%)?

Yes. Apply 21% standard, 9% reduced (food, books, hotels, hairdressers and some other services), or 0% (intra-EU goods, exports, certain services) line by line. Your BTW-ID prints on every invoice, and the BTW breakdown shows clearly per rate. Customer's BTW-ID can be added for B2B clients to support EU reverse-charge.

Can I use Quotae under the KOR small-business scheme?

Yes. If you're enrolled in the Kleineondernemersregeling (turnover ≤ €20,000/year), Quotae issues invoices without BTW and includes the mandatory KOR reference ("factuur zonder BTW op grond van de Kleineondernemersregeling"). Once enrolled you commit for three years — confirm the threshold and timing with the Belastingdienst before opting in.

How do I handle EU B2B clients with ICP?

Invoice EU B2B clients with valid VAT IDs at 0% under the reverse-charge mechanism — Quotae prints the "BTW verlegd / reverse charge" note and records the customer's VAT ID. The data is exportable so you (or your accountant) can file the quarterly ICP declaration alongside your BTW return without re-keying.

What if I bill in USD or GBP instead of EUR?

Quotae supports 10 currencies on a single account. Bill US clients in USD, UK clients in GBP, while your books stay in EUR. The ECB reference exchange rate on the issue date is what your accountant uses for your BTW filing — adjust manually if your bookkeeping software requires a different reference.

Does Quotae work for ZZP and BV freelancers?

Yes for both. Quotae is built primarily for ZZP'ers (sole proprietors), but a BV-vorm freelancer can use it for invoice issuance and customer-facing PDFs. BV-specific accounting (corporate tax, payroll, year-end accounts) still needs your accountant — Quotae feeds them clean data, not a full ledger.

What about other countries on the same account?

Quotae works across 22 countries and 10 currencies on a single account. If you also work with clients in Germany, Belgium, the UK or further afield, see the multi-currency guide linked below — same app, same login.

Frequently asked questions

Can I use Quotae if I'm enrolled in the KOR small-business scheme?

Yes. Quotae issues KOR-compliant invoices without BTW and prints the mandatory "Kleineondernemersregeling" reference. Keep in mind that once you opt in with the Belastingdienst, you're committed for three years, so confirm the threshold (€20,000/year) and timing with your accountant before applying.

How does Quotae handle ICP declarations for EU B2B clients?

Quotae records the customer's VAT ID and prints the reverse-charge note on the invoice. The invoice data is exportable for ICP declaration — you (or your accountant) can map it into the Belastingdienst's ICP filing alongside the quarterly BTW return. Quotae is not a direct Belastingdienst integration; it produces clean records.

Does Quotae work with the Belastingdienst's quarterly BTW filing?

Quotae produces the invoice records and BTW lines that feed your BTW-aangifte. You'll still file through the Belastingdienst portal (or your bookkeeping software does it for you), but Quotae makes the data preparation trivial: sequential numbering, BTW-ID, per-rate breakdown, and exportable CSV/PDF.

Can I invoice non-EU clients (US, UK) in their currency from the Netherlands?

Yes. Pick the currency per invoice — USD for US clients, GBP for UK clients. The invoice goes out in the chosen currency; for your BTW filing the operation converts to EUR at the ECB reference rate on the issue date. Confirm the conversion criterion with your accountant.
